Resource Leveling Made Easy with SharePoint

Resource leveling is an essential part of project management that helps ensure tasks are completed on time by allocating resources effectively. With SharePoint, you can streamline your resource leveling process and improve collaboration among team members. Here’s how:

Create a Resource Pool

Start by creating a resource pool in SharePoint. This will be the central hub for managing your resources. To create a new list, go to Site Contents > Lists > Create List. Choose “Custom List” as the template and give it a name like “Resources.”

Add Resources

In your resource pool, add each team member or resource as an item in the list. Make sure to include relevant information such as their name, role, availability, and expertise. You can also add columns for skill sets, interests, or other relevant details.

Create Tasks

Next, create a task list in SharePoint to manage your project tasks. This will help you assign resources to specific tasks and track progress. Choose “Custom List” again and give it a name like “Tasks.”

Assign Resources to Tasks

Now it’s time to assign resources to tasks. Go back to your resource pool and select the resources you want to assign to each task. Then, go to the task list and edit the relevant task item. In the “Resources” column, add the selected resources as an option.

Track Progress

To track progress, use SharePoint’s built-in workflow features. Create a workflow that allows team members to update the status of their assigned tasks. This will give you visibility into which tasks are completed, in progress, or pending.

Reporting and Analytics

SharePoint also provides robust reporting and analytics tools to help you analyze your resource leveling efforts. Use the “Views” feature to create custom reports that show which resources are over- or underutilized, which tasks are taking the most time, and more.

Tips and Tricks

Here are a few additional tips to keep in mind when using SharePoint for resource leveling:

  • Make sure to set clear expectations for task deadlines and resource availability.
  • Use SharePoint’s calendar feature to schedule tasks and resources accordingly.
  • Set up notifications and reminders for team members so they stay on track.
  • Regularly review and adjust your resource allocation to ensure optimal utilization.

By leveraging these features within SharePoint, you can streamline your resource leveling process, improve collaboration among team members, and make data-driven decisions to optimize project performance.
