Using a Time Management Matrix in SharePoint

Using a time management matrix in SharePoint can be an effective way to prioritize tasks and projects, allocate resources, and track progress. The time management matrix, also known as the Eisenhower Matrix, is a decision-making tool that helps you focus on what’s important and delegate or eliminate tasks accordingly.

In SharePoint, you can use the features such as lists, libraries, and web parts to create a time management matrix that suits your needs. Here are some steps to follow:

Step 1: Create a list in SharePoint

To start, create a new list in SharePoint with columns for Task Name, Priority (High, Medium, Low), Urgency (High, Medium, Low), and Status (Not Started, In Progress, Completed). You can also add additional columns if needed.

Step 2: Categorize tasks using the matrix

Using the time management matrix, categorize your tasks into four quadrants:

  • Urgent and Important (Do First): Tasks that are both urgent and important should be done immediately. These tasks typically have deadlines and significant consequences if not completed on time.
  • Important but Not Urgent (Schedule): Tasks that are important but not urgent should be scheduled accordingly. These tasks are critical to the overall project or goal, but they do not have a deadline.
  • Urgent but Not Important (Delegate): Tasks that are urgent but not important should be delegated to others if possible. These tasks can be handled by others and are not critical to the project or goal.
  • Not Urgent or Important (Eliminate): Tasks that are neither urgent nor important should be eliminated or minimized. These tasks do not have a deadline and do not contribute significantly to the overall project or goal.

Step 3: Track progress using SharePoint features

Once you’ve categorized your tasks, use SharePoint features such as lists, libraries, and web parts to track progress. You can:

  • Use a list to track the status of each task
  • Create a dashboard using web parts to visualize the progress of multiple tasks
  • Utilize workflow and approval processes to ensure that tasks are properly approved and routed for completion

Step 4: Review and adjust regularly

Regularly review your time management matrix and adjust as needed. This will help you stay focused on what’s important, delegate or eliminate tasks accordingly, and track progress towards your goals.

Some additional features in SharePoint that can be useful for tracking progress include:

  • KPIs (Key Performance Indicators): Use KPIs to set targets and track progress towards specific goals.
  • Dashboards: Create a dashboard using web parts to visualize the progress of multiple tasks or projects.
  • Workflows: Utilize workflows and approval processes to ensure that tasks are properly approved and routed for completion.
  • Charts and graphs: Use charts and graphs to visualize data and track progress over time.
